Frequently Asked Questions

How quickly can SMART be installed?

From point of order it will take approximately 6 to 8 weeks.

What are the minimum computer requirements?

Server
The minimum requirements are a computer/server capable of supporting Windows 2003 Small Business Server. (From Microsoft website: we would recommend a processing speed of around 2 to 3GHz and around 2Gb of RAM with 50Gb or above of hard drive space).

SMART also works equally as well on Peer to Peer networks of up to 7 computers or Windows 2000 server or above.

Client
We recommend a computer capable of running Windows XP Professional. (From Microsoft website: we would recommend processor of about 2GHz and around 1Gb or more of ram with 40Gb or more of hard drive space).

Network
SMART works on networks with speeds 10/100Mbs or more; if customer would like to use SMART from a remote location this would require a Broadband connection on both Client and Server side. Customers would need to connect to Terminal Services to use the Server enabling access to SMART (this will require buying Terminal Services licenses from a third party).

How quickly can I receive pricelists and updates?

You are notified via email when we have processed a pricelist from a supplier.  Given we received the data in the correct electronic format, we are able to turnaround the pricelist within 48 to 72 hours.  Data in alternative formats can take longer.  The most appropriate format is a simple excel file with one product to each line of the table. I am too busy to use SMART. How will it give me time?

SMART can free up your time to enable you to focus on what is important to you, whether this be selling more, developing the business or simply reducing your workload. SMART removes issues such as constant re-inputting of data and duplication, quotes can be created and re-created in seconds rather than hours. What happens if the computers crash?

SMART itself is a very robust software system tried and tested over 7 years of development. All records are updated on entry and so if there is a hardware crash, the most up to date data can be retrieved from your back up system.

Is there an easy way to change what information appears on my quotation?

Yes. In the reports section of the main screen in SMART, there is a button called quotation templates.  In this you can specify how you want each section of your quotation and confirmation to appear on paper. Just select the tick boxes for each section and this will allow you to show or hide elements of your report such as quantity of item, dimensions, quote price and so on. You can also give sections a lump sum figure so that the quotation is not itemised.  There are also global report changes such as hiding installation text.

You have sent me a pricelist and it contains two files, how do I import them and what is the .upc file for?

To import the pricelist the files need to be saved to a location on the hard-disk. Then from the supplier screen the file can be imported using the 'Import' button at the top.  Only the .upl file will be visible from the import screen; this is because the .upl file is the pricelist, the upc file contains the pictures for it. The import file wizard is easy to use however if you have any problems using it we are always available to help.

I have received a pricelist from my supplier in excel - can I import it?

Yes you can, providing they have given you the three main criteria for each product; code, description and price. The top line of the spreadsheet is the column headers and the rest should be one product on each row. In SMART you will then just need to simply create the supplier in the suppliers section, then go into catalogues and click import. The import tool will then come up, navigate to the file using the browse option and click open. Specify the column letters for the criteria, the name of the supplier and the section then click import. Your pricelist should now be updated, you should check some prices to make sure your pricelist is accurate.

How do I download a pricelist?

When an internet connection is present pricelist can be downloaded in the suppliers section by clicking load/update pricelist using the internet or simply download at the top.  Alternatively this option is available from update catalogue, located in the file menu of the toolbar.  Some pricelists have passwords these will need to be obtained by contacting us via email or phone and we will provide you with the password. If a prompt comes up requiring you to close SMART for 10 seconds, you have clicked 'Update SMART'; this will bring you to the latest version of SMART.

Purchase orders need different information for a variety of suppliers, such as kitchen style, how do I set this up when I’m ordering components for a project?

In the ordering wizard, when selecting suppliers to order from you can right click on the supplier and click set supplier report properties. A simple screen of options will appear that allow you to change what product and project information you want to see on the document.
